We are seeking a valuable team member for the position of "Purchaising Specialist" to be considered at Rixos Tersane İstanbul.

Job Description

  • Obtains competitive quotations for hotel requirements and supports the selection of the best products and services by sharing suitable suppliers and offers with the relevant Managers.
  • Conducts market research on a regular basis and obtains a minimum of three quotations whenever applicable, presenting findings and comparisons to Managers.
  • Ensures that supplier information, price lists, contact details, and related records are accurate and up to date.
  • Actively uses the purchasing/procurement system to create, process, follow up, and allocate purchase orders.
  • Follows up on purchase requests and purchase orders to ensure timely delivery in line with operational requirements.
  • Supports the evaluation of suppliers in terms of price, quality, service standards, delivery times, and compliance with hotel requirements.
  • Maintains effective communication and professional relationships with existing and potential suppliers.
  • Prepares month-end purchasing and account-related reports accurately and on time and provides relevant feedback to Managers.
  • Welcomes suppliers visiting the office and coordinates supplier meetings when required.
  • Maintains proper documentation and filing of quotations, purchase orders, supplier information, contracts, and other purchasing-related records.
  • Coordinates with relevant hotel departments to understand purchasing requirements and supports departments throughout the procurement process.
  • Performs any other duties and responsibilities assigned by the Manager.
  • Ensures full understanding of and compliance with the Hotel Employee Handbook, hotel policies and procedures, particularly those related to Fire, Hygiene, Health & Safety.
  • Adapts to operational and departmental changes according to the needs of the hotel.

Qualifications

  • Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, Hospitality Management, or a related field.
  • Previous experience in Purchasing, Procurement, Supply Chain, or a similar role; preferably within the hospitality or luxury hotel industry.
  • Good understanding of purchasing processes, supplier management, quotation comparison, and purchase order procedures.
  • Strong negotiation, communication, and interpersonal skills.
  • Strong research and analytical skills with the ability to compare suppliers, prices, quality, and commercial terms.
  • Detail-oriented, organized, and able to manage multiple purchasing requests simultaneously.
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Experience with purchasing, procurement, ERP, or hotel management systems is an advantage.
  • Good command of written and spoken English; additional languages are an advantage.
  • Ability to work effectively with different departments and build strong supplier relationships.
  • Strong sense of responsibility, confidentiality, accuracy, and follow-up.
  • Ability to work in a fast-paced hospitality environment and adapt to changing operational priorities.
  • Knowledge of hotel purchasing standards, hygiene, health & safety, and related compliance requirements is preferred.
